Terms and Conditions for Equipment Loan

Declaration

When you book equipment through the SISO service you are deemed to have confirmed the following:

Risk assessment

I confirm that I have read and understand the “General RA for Music Studios” which can be found in the Risk Assessment area of the Recording Studio Resources unit on Brightspace and confirm that my activity falls within the scope covered by this risk assessment.

I confirm that if my activity is not covered by the "General RA for Music Studios" or is not taking place in the general recording rooms (PG-219, PG-220, PG -221, PG-222, PG-223, PG-224, PG-225, PG-226, PG-227, PG-228), I have generated a separate risk assessment on SISO and attached it to this booking, to be approved by the unit leader attached to the activity.

Location

Always make sure you discuss your location details and Risk Assessment with your academic supervisor and agree that you are both satisfied that everything has been done to ensure your safety and the safety of others.

You must ensure that you comply with any specific requirements for the location you are using, including relating to health and safety, and require any necessary consents from the relevant authorities or owners.

You are not permitted to take SciTech equipment outside the UK.

Late collection or return

During term time, resources are in constant use. Scheduling of equipment and facilities is critical, and the success of the loan system relies on the timely collection and return of borrowed items. Failure to collect or return borrowed equipment will result in other students or staff not being able to complete assignments.

If you do not collect or drop-off equipment within 20 minutes of your booked time, and you haven’t notified the stores person, there is no guarantee the stores person will be there to hand you your kit. You will then receive a strike.

If, for any reason, you are delayed in returning equipment or loan items by the due date, please contact the store manager as soon as possible. You will receive a strike every 2 times this happens.

After 3 strikes, you will be banned from SISO and will need to talk with your programme leader.

If any equipment has not been returned within 25 working days after the post date of the notification letter, or any late return fees have not been paid, the matter may be passed to the University Finance Department who will take action to recover fees, the replacement cost and any additional costs of the action and late payment interest.

You are responsible for all equipment borrowed and you must ensure all equipment is safely returned to the Store for serviceability checks and maintenance prior to re-issue. You must not sub-let equipment, or transfer possession to any other person, even if that person has booked the equipment. Passing equipment directly to another student or colleague will not be seen as a proper handover of responsibility and you will remain fully responsible for proper and timely return of the equipment.

Loss or damage to equipment

Items of equipment which are returned damaged will have to be repaired or replaced by the Store. You may be required to pay the full cost of repair or replacement in any of the circumstances described below. Students are strongly advised to take out insurance.

!Warning!

Always be careful when using University loaned equipment. Never leave equipment unattended when in use and always store equipment away safely and securely at other times. Take care to avoid damaging equipment, particularly with food and drink, extreme weather conditions and detrimental environments.

Equipment should not be used for personal, commercial or other purposes not connected to an approved project which has been agreed by your academic supervisor.

Use of your personal data

Data that you input into this system may be shared with third parties to enable provision of this service. For more information please see the University policy for Data Protection, which is available on the intranet.
